What is the invoice cycle for Zonos?

Zonos will invoice you monthly for our Zonos Landed Cost fee and the amount of the duties and taxes that we calculated. If you print USPS labels from Dashboard, you will also see USPS shipping charges on your monthly invoices. Zonos will invoice you annually for our platform fee, unless you are on Shopify. Shopify's annual platform fee is billed via the Shopify subscription. Monthly installment options are available with platforms other than Shopify.

How can I view my invoice on Zonos?

Go to Dashboard → Billing → Invoices. Click on the invoice in question. On the invoice page, you can view the invoice date, order count, grand total, fee total, landed cost total, merchant fees, and net total.

How can I export an invoice as a CSV on Zonos?

Go to Dashboard → Billing → Invoices. Click on the invoice. Click Export in the top right.

How can I download an invoice on Zonos?

Go to Dashboard → Billing → Invoices. Click on the invoice. Click on the arrow at the top, next to the numbered title of the invoice. Click Download invoice.

How can I download an invoice receipt on Zonos?

Invoices

Find and understand your Zonos invoices.

Understanding Zonos invoices is crucial for tracking your expenses and maintaining financial records. These invoices show fees for services used and how those fees are calculated.

Understand your invoice

Your invoice includes a breakdown of all the charges you are being asked to pay. Only the charges that apply to your account will appear. The total for the invoice will always display in USD.

The details about the invoice page and what it contains, can be seen below:

Currency conversion fee	Weekly or monthly	The amount Zonos charges for currency conversion. This is collected in lieu of any carrier specific conversion fees.
Advancement	Weekly or monthly	Represents any fees charged by the carrier for prepayment of duty and tax.
Country remittance	Weekly or monthly	The amount charged by any carrier where a remittance fee is assessed.
Transaction fee	Weekly or monthly	This is part of the Zonos' guaranteed landed cost where a flat fee is charged per order regardless of duty and tax calculation.
Landed cost fee	Weekly or monthly	This is the % cost of Zonos' guaranteed landed cost. It is typically a percentage of the duties, taxes, and fees calculated for the order.
Setup fee	One-time	Most integrations require a one-time setup fee to ensure Zonos is set up properly. Shopify does not require a setup fee.
Zonos API	Monthly	View the number of API calls you are making through Zonos.

Certification to print labels outside of Dashboard	Yearly	Retailers who want to print guaranteed labels outside of Dashboard must complete certification with Zonos. Zonos will help you set up your systems properly and provide ongoing support to maintain certification.
USPS labels	Weekly	Labels printed from Dashboard use Zonos' USPS account. The USPS labels charge is the cost of the USPS labels that you printed via Dashboard. Zonos does not charge for the label generation service; the cost is the direct cost of the shipping labels themselves.
Foreign tax registration	Variable	Registration is generally included with our guaranteed landed cost. For those not using our guarantee, you may see additional registration costs here as an add-on service.
Classify	Yearly	If you want to use more than 10,000 classifications that are included in the platform fee, you can purchase an annual Classify plan.
Credit card processing fee	Per invoice	Invoices paid with a credit card include a 4% processing fee to cover card processing costs (where applicable). Paying by bank transfer (e.g., ACH direct debit) avoids this fee.
SaaS tax	Monthly or yearly	Some US states tax software-as-a-service (SaaS) products. Where required by law, SaaS tax is applied to your Zonos software fees at the combined state and local rate for the postal code of your billing address. Duties and taxes that Zonos remits on your behalf are not taxed. If your business holds a tax exemption, send a copy of your Sales and Use Tax Certificate of Exemption to ar@zonos.com.
Late payment interest	Monthly	If an invoice isn't paid by its due date, interest accrues daily on the unpaid balance at 1.5% per month, or the maximum rate allowed by law, whichever is less. Accrued interest is billed as a separate invoice.

Order details

When you use our Landed Cost API or Duty and Tax app, your ecommerce platform processes your customer's order, which includes the landed cost quote provided by Zonos. The ecommerce platform then pays you the funds collected, including the landed cost quote. The Zonos invoice includes the duties, taxes, and fees calculated in the landed cost quote so that we can pay the duties and taxes for the order on your behalf.

The invoice page will display the following under for each transaction:

Date—The date the order was placed.
Order ID—The Zonos order ID we use to identify your order.
Total—A summary of charges for that order.

To view more details about an order, you can:

Click on the line item for the order to expand the details to view the breakdown of Zonos fees and duties, taxes, and carrier fees.
Click on the linked Order ID to go directly to the order page for that order.

Inclusive pricing in invoice reports

When you use inclusive pricing, the invoice report shows the live landed cost quote breakdown for each order. To reconcile the billed amount back to the inclusive price that was calculated at checkout, a buffer or subsidy line item is applied depending on whether the actual duties and taxes came in above or below the inclusive price:

LANDED_COST_GUARANTEE_BUFFER — Applied when the actual duties and taxes for the order were less than the inclusive price Zonos calculated. The buffer represents the margin retained by Zonos and brings the total up to the inclusive price.
LANDED_COST_GUARANTEE_SUBSIDY — Applied when the actual duties and taxes for the order were more than the inclusive price Zonos calculated. The subsidy represents the amount Zonos absorbed and brings the total down to the inclusive price.

In both cases, the net amount on the invoice reflects the inclusive price the customer paid at checkout—not the raw landed cost quote.

Export invoice as a CSV

There are two CSV's available to export:

Invoice summary: Each order has its own row in the CSV. Charges and credits are summarized.
Invoice detail: Each individual charge has its own row in the CSV, providing transparency into calculations. Each order may have multiple rows if multiple charges correspond to a single order.

To export a CSV of your invoice:

Go to Dashboard -> Invoices.
Click on the invoice.
Click Export in the top right of the page.
Choose the type of report you want: Invoice summary or Invoice detail.

Multiple invoice periods

To export a CSV that crosses multiple invoice periods:

Go to Dashboard -> Invoices
Click Export in the top right
Select Invoice summary or Invoice detail
Choose your date range (based on order transaction date)
Click Generate report

Invoice PDF settings

Customize what information appears on your invoice PDFs. You can choose to show your tax ID and purchase order number on invoices.

To update your invoice PDF settings:

Go to Dashboard -> Settings -> Billing.
Scroll to the Invoice PDF settings section and click to open the settings.
Select the information you want to appear on your invoice PDFs:
- Show Tax ID on invoices — Displays your tax ID on the invoice PDF.
- Show Purchase Order number on invoices — Displays your PO number on the invoice PDF.
Click Save changes.

Invoice email recipients

Manage who receives invoice email notifications. By default, your primary billing contact receives all invoice emails. You can add additional recipients to also receive invoice notifications.

Invoice email notifications include:

Invoice ready — Sent when a new invoice is available.
Invoice confirmation — Sent when an invoice is confirmed.
Payment ready — Sent when a payment is ready to process.
Payment reminder — Sent as a reminder before payment is due.

To add additional invoice email recipients:

Go to Dashboard -> Settings -> Billing.
Scroll to the Invoice emails section.
Click Add email.
Enter the email address of the additional recipient.
Click Save.
